How to keep your data private when using AI tools

The settings to check and the habits that protect you.

Save prompts that work well. Over time you will build a small library you can reuse, which is where most of the time savings come from.

Measure the result honestly. Note how long the task took before and after. If AI does not save time or improve quality, it is fine to stop using it for that task.

Step 2: Give the AI good context

Keep anything sensitive out of your prompts unless you have checked the privacy settings of the tool, and your organisation allows it.

  • A free or paid account with one assistant
  • A real task, not a test question
  • A source you trust to check facts
  • Twenty minutes without interruptions
  • A place to save prompts that work

Next steps

The quality of the answer depends on the quality of the question. Tell the assistant who the result is for, what format you want and what it should avoid.

  1. Describe the goal in one sentence
  2. Add context: audience, format and length
  3. Ask for a first draft
  4. Check facts and tone
  5. Ask for specific changes
  6. Save the prompt for next time

Treat the assistant like a talented intern: fast, eager, and in need of clear instructions and a careful review.

Humanopia testing notes

If the first answer is not right, do not start over. Tell the assistant what to change, one thing at a time. Small corrections work better than long new instructions.

Tips from our testing

Always check facts, figures and names against a source you trust. AI tools are good at structure and wording, and much less reliable at precise details.

Once you are comfortable, try connecting the assistant to the tools you already use, such as your documents, calendar or spreadsheets. Start with read-only access.
